This Privacy Policy explains how HRFY.AI Private Limited (“HRFY.AI,” “we,” “our,” or “us”) collects, uses, shares, and protects personal information of users who access our AI-assisted hiring platform. It covers both our clients, the employers and recruiters who use HRFY, and the candidates they assess through it. By using HRFY, you acknowledge that you have read and understood this Privacy Policy.

Information We Collect

Contact & Account Information, name, email, phone number, employer, and hashed password.

Candidate Profile Data, résumés, work history, skills, and preferences submitted by or on behalf of a candidate.

Interview Content, audio, video, and transcripts from screening calls and interviews conducted on the Platform.

Usage & Device Data, IP address, browser type, logs, and timestamps.

Payment & Subscription Data, transaction IDs and plan details, handled by our payment partners.

How We Use Your Information

Deliver and operate the HRFY platform.
Conduct and score interviews and screening on behalf of the employer.
Improve accuracy, security, and features of the Platform.
Communicate updates, alerts, and support.
Comply with legal and security obligations.

Data Sharing

We share data only where it is necessary to run the Platform:

Service Providers, hosting, transcription, and payment vendors, bound by written confidentiality and data-protection terms, and permitted to use the data only to provide their service to us.
The Employer, a candidate's profile, interview recording and score are shared with the employer who invited them. That is the purpose of the Platform.
Business Transfers, in a merger or acquisition, subject to this Policy continuing to apply.
Legal & Safety, where we are required by law, or to protect the rights and safety of users and the public.

We never sell personal data. We never share it for advertising. We never use client or candidate data to train models for anyone else.

How We Handle Your Data

In plain terms: we are a technology provider. We run the platform on your behalf, and nothing more.

We take only what the service needs, we do not retain or use anyone’s data beyond what is required to deliver the platform.
We never sell your data, it is never shared for advertising and never used to train models for other customers. Where we do share it, it is only with the parties and for the purposes set out in Data Sharing above.
We are not a data owner, HRFY.AI positions itself purely as a technology provider, not a data owner or controller in the broader sense.
Your data and IP stay yours, client data and intellectual property remain the client’s property at all times.

Your Rights and How Long We Keep Data

You may request access to the personal data we hold about you, ask us to correct it, or ask us to delete it. Candidates may withdraw consent to processing at any time, though this may mean we can no longer support your application.

We keep interview recordings, transcripts and candidate profiles only for as long as the employer needs them for the role in question, and in line with that employer's own retention policy. We delete them once that purpose is served, or earlier on request, unless the law requires us to keep them longer.

Account data is deleted once an account is closed and any legal retention period has passed.

We use cookies that are necessary for the Platform to work, signing you in and keeping your session secure, and analytics cookies that help us understand how the site is used. You can control non-essential cookies through your browser settings.

Data Security

We use TLS 1.2+ encryption, role-based access controls, and regular security audits. No system is 100% secure, but we follow industry best practices.
