The candidate said yes to the interview. You blocked time. The hiring manager joined. Nobody showed up.
Every recruiter has a number for the interviews lost to no-shows. Most do not track it, but everyone feels it. This guide explains why no-shows happen and nine tactics to reduce them.
Why candidates do not show up
- The slot did not suit them. Most candidates are working. A 2 pm slot on a Tuesday is hard.
- The wait was too long. If days pass between "yes" and the interview, interest drops and other offers arrive.
- They accepted another offer. They did not think to tell you.
- The details were unclear. No link, no interviewer name, no idea what to expect.
- No one confirmed. A calendar invite is not a commitment.
- They felt ignored. Candidates who got slow replies earlier often return the favour.
Nine tactics
1. Book fast
Offer interview slots within 24 to 48 hours of the candidate showing interest. Every extra day increases drop-off.
2. Offer slots that suit working people
Include early mornings, evenings and weekends where the hiring manager can. Or remove the slot entirely with a self-paced interview.
3. Send clear invites
Include the interviewer's name, role, format, duration, joining link and what to prepare. Fewer questions means fewer drop-outs.
4. Ask for a confirmation, not just an acceptance
Send: "Please reply YES to confirm your slot on [date, time]." A reply is a small commitment.
5. Remind on WhatsApp, not only email
Many candidates check WhatsApp far more often than email. Send reminders the day before and one to two hours before.
6. Make rescheduling one tap
Add a reschedule link. A candidate who can move the slot easily is less likely to vanish.
7. Call no-shows the same day
A short, friendly call often recovers the candidate. "We missed you today. Is everything okay? Can we find another time?"
8. Track no-shows as their own stage
Do not log them as rejections or withdrawals. Count them separately so you know your real rate and can see whether changes help.
9. Remove the slot where you can
A self-paced AI interview lets the candidate take the interview at any time in a window, such as 7 days. There is no slot to miss.
A reminder timeline you can copy
| When | Channel | Message |
|---|---|---|
| Right after they say yes | WhatsApp + email | Confirmation with all details |
| 24 hours before | "Reply YES to confirm your interview tomorrow at [time]." | |
| 2 hours before | Joining link and interviewer name | |
| 15 minutes after a no-show | Call + WhatsApp | "We missed you. Can we reschedule?" |
Message templates
Confirmation: "Hi [name], your interview for [role] at [company] is on [date] at [time] with [interviewer]. Link: [link]. Please reply YES to confirm. If you need another time, tap here: [reschedule link]."
After a no-show: "Hi [name], we missed you today. If something came up, no problem. Would [two new slots] work?"
Measure first
Before you buy any tool, measure your own no-show rate for a month: interviews booked, interviews held, no-shows. If the rate is high, fix speed and slots first. Reminders help, but they cannot fix a slow process.
Removing the slot
For first-round screening, HRFY.ai lets candidates take an AI interview at a time that suits them. Recruiters read the results instead of chasing slots, and the live interview time is kept for people who are already a good fit.
